Plan to loading approval

Carry the transport plan into a reviewed dock, pallet and seal check.

Step by step

  1. Prepare the load Load Planner

Load Planner records the requested quantity, item, lane and planned dates. Confirm the transport partner and prepare the stop appointments before moving the load from Draft to Planned. Agree the quantity basis with the dock team so the physical check has a meaningful comparison.

    • Draft load becomes Planned
    • Updates Loads, Load stops, Transport partners
  2. Confirm the resource context Dispatch Coordinator

Dispatch Coordinator checks the selected driver and vehicle with the assignment interval. Investigate a readiness concern before accepting the resource choice. If the load or appointment changes, revisit the availability assessment for that journey.

    • Resource choice checked for the interval
    • Updates Load assignments, Drivers, Vehicles
  3. Submit the physical check Dispatch Coordinator

Dispatch Coordinator records the dock, loading time, loaded pallets and seal against the correct load. Read the seal back from the physical truck and attach the supporting evidence. Submit the current check when the recorded quantity and physical observation agree.

    • Draft check becomes Submitted
    • Updates Load checks, Record attachments
  4. Review loading Transport Supervisor

Transport Supervisor independently approves or rejects the Submitted check. Compare the load, assignment and physical evidence, then record the decision rationale and time against the reviewed revision. A changed seal or quantity returns for review.

    • Submitted check becomes Approved or Rejected
    • Updates Load checks, Review decisions
ApprovalA person approves before the work moves on.

Where it usually breaks

And how to keep it from happening.

  • Requested units and loaded pallets use different quantity bases, so the apparent match is misleading.
  • The seal changes after review, while the next shift still refers to the earlier decision.
  • Evidence is attached to another load with a similar subject, leaving the supervisor unable to trace the physical truck.
