Step by step

1. Define the interval Load Planner and Dispatch Coordinator

   Load Planner confirms the pickup and delivery appointments. Dispatch Coordinator creates the assignment with the intended working start and end and keeps it Held while the resource choice is being checked. Include the agreed return or onward handoff in the planning conversation.

   • Working interval recorded on Held assignment
   • Updates Loads, Load stops, Load assignments

2. Review driver eligibility Dispatch Coordinator

   Dispatch Coordinator checks the driver's active state, availability, license class and relevant expiry dates. Resolve a conflicting or outdated eligibility record with the responsible authority. Record the basis used for the assignment decision.

   • Eligibility basis recorded for the choice
   • Updates Drivers, Load assignments

3. Review vehicle readiness Dispatch Coordinator

   Dispatch Coordinator compares the vehicle's status and readiness with inspection results, open defects and upcoming service. Inspect repair evidence before relying on a Repaired defect. A replacement unit needs its own review.

   • Fleet evidence reviewed for the intended unit
   • Updates Vehicles, Inspections, Defect register, Maintenance plans

4. Confirm the choice Dispatch Coordinator

   Dispatch Coordinator records the availability check and moves the suitable assignment from Held to Confirmed. Review the start and end again if a previous journey runs late. Keep a cancelled choice distinguishable from the assignment that will carry the load.

   • Held assignment becomes Confirmed
   • Updates Load assignments
