What you can do
Explain the charge through the work performed
A service charge belongs to a work order and a partner. Finance Officer prepares the amount and charged date, keeping the commercial record tied to the collection or disposal activity it concerns. Operations Manager can inspect that charge alongside the operational evidence when a partner asks about a disputed amount.
The partner directory identifies haulers, carriers, recyclers and disposal partners with their business name and contact email. Use the actual partner relationship on the charge. A carrier name recorded on a manifest provides movement context, while the charge’s linked partner identifies the party associated with the financial record.
Charges can be recorded as Draft, Approved or Paid. Finance Officer prepares authorized drafts and reconciles confirmed financial information. Agree the organization’s financial authorization and receipt process during setup before using later states. Payment execution belongs to the connected financial system, with the charge record reflecting the confirmed result.
How the work is organized
- Draft preparation. Finance Officer selects the actual work order and partner, records the amount and checks the charged date. The operating record provides context for understanding the service supplied.
- Operational review. Operations Manager and Operations Reviewer read charges alongside field logs, manifests and exceptions. That visibility helps them explain the work without giving them charge-entry authority.
- Confirmed recordkeeping. Finance Officer reconciles charge information through the agreed financial process. A later recorded state needs the corresponding confirmed authorization or payment information from that process.
What to agree during setup
Agree the amount basis used for the pilot, including the currency convention shared with the financial system. Keep that convention consistent when comparing partner charges. Decide who provides the authorized amount and how Finance Officer checks it against the original service information.
Identify the financial system or procedure that confirms approval and payment. Agree how its evidence can be consulted when reconciling a charge, and who investigates a disagreement between that information and the operational work. A charge attached to the wrong order should be corrected through an authorized process before it distorts the work-order cost detail.
Check the handoff on an actual case
Use the offcut collection order and the actual hauling partner. Finance Officer prepares the service charge using the agreed amount basis. Operations Manager follows the parent order to the field log and manifest, checking that the charged service corresponds to the work performed.
Rehearse a disputed amount while a related operational exception remains open. The team should be able to inspect the issue without treating it as resolved merely to finish the charge. Then reconcile a confirmed financial outcome from the agreed source. Finally, attempt charge entry with Operations Officer’s account: the operational capture role must not gain financial write access from being assigned to the work order.
