Document approval and posting

From a prepared document to a posted, balanced journal.

Step by step

  2. Approve document Accounting Reviewer

An independent accounting reviewer checks the lines and evidence and records an approve, reject or return decision against the current revision. Self-approval is refused.

ApprovalA person approves before the work moves on.
  3. Post journal Controller

The controller posts the approved document as a balanced journal entry into an open accounting period. Debits must equal credits and accounts must be active in the same organization; the operation key makes sure it posts once.

    • Balanced journal posted; document posted
    • Updates Journal entries, Journal lines, Accounting periods
  4. Correct or cancel Controller or Accounting Reviewer

Draft or in-review documents can be cancelled as rejected with a return decision. A posted document is corrected only by a reviewer-approved compensating journal entry.

    • Draft cancelled or posted scope compensated
    • Updates Accounting documents, Journal entries, Review decisions

Where it usually breaks

And how to keep it from happening.

  • A reviewer approves an older version of a document that was edited after they opened it.
  • A retried posting creates a second journal.
  • A posted charge is edited directly, and the ledger no longer matches the bill.
