What you can do
Make the decision understandable later
Review evidence connects an opportunity’s supporting documents with the decisions made against its submitted revision. A document has a title, evidence type, upload date and uploader. Its visibility is marked Internal or Shared. The review decision records the deciding person, decision date and reason, together with the source revision and operation key.
Those details help Sales Manager explain why an assessment was approved or returned. Auditor can inspect the same authorized evidence later. Relationship Owner can also see the decision reason when preparing a correction. Keep the content readable enough that someone outside the original conversation can understand the household and the action being considered.
How the work is organized
- Document context. Give each attachment a title and evidence type that describe its purpose. Attach it to the intended opportunity and check the household before submission. The uploader and upload date help the reviewer identify how the supporting material entered the record.
- Decision context. An independent decision refers to a submitted source revision. Sales Manager uses Approve, Reject or Return and records the reason. The authenticated reviewer supplies the identity; the preparer cannot select another person’s name to make the decision appear independent.
- Visibility. Internal and Shared are document classifications the team must interpret through its access policy. Agree who can read each class before distributing sensitive household material. A Shared label by itself is no instruction to publish a document or send it outside the firm.
What to agree during setup
Choose evidence types that the advisory team can apply consistently. Define which document supports customer acceptance and which material supports a household assessment. Give reviewers a way to distinguish an older document from the content used for the current submission without changing the meaning of earlier decisions.
Agree the access rules for internal and shared documents and test them with the actual user roles. Decide who handles an incorrectly attached file and how the team preserves the explanation for an earlier decision. If documents come from a signature or document system, configure that connection with a clear source reference and an owner responsible for mismatches.
Check the handoff on an actual case
Take a fictional household assessment that refers to a recent meeting and an imported assets snapshot. Relationship Owner attaches the supporting document under the correct opportunity and gives it a useful title. Sales Manager opens the assessment, checks the document’s household and date, and records the decision with a reason that explains the result.
Rehearse a second case where the attachment belongs to a similarly named household. The reviewer should return or reject the assessment instead of treating the presence of a file as sufficient evidence. Then inspect the decision register with Auditor. Confirm the reviewer, source revision and reason remain available, while an unauthorized user cannot obtain the document through another route.
