What you can do

Confirm an instruction from evidence

When a provider acts on an instruction, it sends evidence: what was executed, at what price and with what fees. Each piece is kept as an evidence line against the instruction, with a line number, the provider’s event ID, the time, the executed quantity, the executed price, the fees and a status of Pending, Verified or Rejected.

The Operations Analyst verifies each line. The check covers the organization, the instruction’s identity and version, and the quantity, price and fees. Verified lines let the instruction be confirmed. A line that does not match is Rejected, and the instruction stays Pending until the difference is resolved.

How the work is organized

  • One line per provider event. Each provider event ID is kept once, so a repeated notification does not create a second line.
  • Checks against the instruction. Quantity, price and fees are compared with what was authorized before a line is verified.
  • Confirmation follows verification. The instruction is marked Confirmed with its confirmation date and provider reference only after its evidence is verified.

What to agree during setup

Agree which providers send evidence and in what format. Set the tolerances your policy allows for price and fees. Decide who verifies evidence, how quickly, and who is told when a line is rejected. Agree how the provider’s reference is stored so the client statement can be traced back.

Check the handoff on an actual case

An authorized instruction redeems $120,000 from a money market fund. The fund’s administrator sends evidence of 120,000 units redeemed at $1.00 with no fees. The Operations Analyst checks the line against the instruction, marks it Verified, and the instruction is Confirmed.

On another redemption, the evidence shows fees of $45 where the instruction expected none. The analyst marks the line Rejected and asks the administrator. The corrected evidence arrives as a new line with a new provider event ID, is verified, and the instruction is confirmed. The rejected line stays on the instruction as part of the record.
