How a Whistleblower / Ethics Hotline rollout works

Pilot a protected concern from intake to a reviewable matter outcome.

  1. Agree authority

Name the Intake Coordinator, Investigator, Independent Reviewer, Ethics Manager and Records Custodian. Define case and protected-identity access separately.

  2. Map records

Import organizations, staff, clients and existing matters with stable identifiers. Align each report with the correct organization and parent matter.

  3. Configure a bounded pilot

Use one concern with a conflict question, a submitted report revision, an evidence file and a deadline. Set the reviewer and approval route.

  4. Rehearse exceptions

Return a report for more information, test an expired identity grant, change a controlled document revision and reconcile a needs review operation receipt.

  5. Review and release

Compare case history, access denials, decision revision and deadline receipts with the source records. Obtain the operating owners' acceptance before expanding intake.

What the customer provides

  • Organization and staff identities, with the intended case and access owners.
  • Report intake policy, confidentiality scope and any existing case references.
  • Conflict-check rules, review authority and criteria for closure.
  • Retention, legal-hold, document production and external delivery policies.

Changing it afterwards

Use Proto to prepare changes for review. Recheck affected access rules, view filters and source-revision behavior before release. Keep earlier review decisions and production records tied to the version and authority in force when they occurred.
