Trip charges to invoice

Raise draft charges against a trip, approve them when delivery is confirmed and mark them invoiced once billed.

Step by step

  1. Raise draft charges Delivery and Billing Reviewer

Delivery and Billing Reviewer records each charge against the trip with its type and amount, such as a transfer fee or an extra stop. Charges start as Draft and can be corrected while the trip runs.

    • Charge created at Draft
    • Updates Trip charges, Trips
  2. Approve the charges Delivery and Billing Reviewer

When the reviewer confirms the trip's delivery evidence, the trip's draft charges are approved. The reviewer checks types and amounts as part of that decision. Charges on a trip with disputed evidence stay in draft.

    • Draft → Approved on confirmed delivery
    • Updates Trip charges, Delivery evidence

  3. Issue the invoice Delivery and Billing Reviewer

The reviewer raises the invoice for approved charges in the connected accounting system.

  4. Mark invoiced Delivery and Billing Reviewer

The reviewer marks each billed charge Invoiced, so the Charge Register shows what has been billed and what is still waiting.

    • Approved → Invoiced
    • Updates Trip charges

Where it usually breaks

And how to keep it from happening.

  • A charge is added after delivery is confirmed and never approved.
  • Approved charges are invoiced in the accounting system but not marked Invoiced, so they are billed again.
  • An extra-stop fee is billed for a stop the driver never made.
  • Charges are entered with tax on some trips and without tax on others.
