Departure to delivery evidence

Retain actual stop events and recipient proof without changing the original delivery promise.

Step by step

  1. Confirm departure Inventory Clerk

Inventory Clerk verifies the load and records the actual pickup. A loaded departure uses the load's Departed state, while the resource assignment records Dispatched. The physical departure and the delivery outcome remain separately evidenced events.

    • Departure and pickup evidence retained
    • Updates Loads, Load assignments
  2. Record stop activity Inventory Clerk

Inventory Clerk records actual arrival and departure against the ordered stop. Confirmed stops become Arrived when the visit occurs, then Completed when supported by the actual outcome. A missed appointment retains Missed for follow-up instead of being filled with a guessed arrival.

    • Actual arrival and departure recorded
    • Updates Load stops
  3. Capture recipient evidence Inventory Clerk

Inventory Clerk retains the recipient's proof reference on the relevant stop and enters the load's actual delivery time when confirmed. Review the proof against the intended load and location. A document for a different load cannot close the receiving evidence gap.

    • Recipient proof and actual delivery retained
    • Updates Load stops, Loads, Record attachments
  4. Review the handoff Transport Supervisor

Transport Supervisor compares actual delivery with the original promise and reviews the freight amount with the supporting proof. Retain unresolved differences for investigation before handing the result to the designated financial system.

    • Delivery comparison and freight evidence reviewed
    • Updates Loads, Load stops, Record attachments
  5. Complete the assignment Inventory Clerk

Inventory Clerk changes the dispatched resource assignment to Completed when its work is finished. Confirm the same load, driver and vehicle before updating the assignment. The supervisor's evidence review leaves this record update with the clerk.

    • Dispatched assignment becomes Completed
    • Updates Load assignments

Where it usually breaks

And how to keep it from happening.

  • Leaving the yard is treated as proof of delivery. Keep loads without an actual delivery time visible.
  • Staff replace the promised time after a delay. The later comparison then loses the customer's original expectation.
  • A proof reference is attached to the wrong stop. Compare the recipient location and stop sequence before accepting the handoff.
