Load plan to dispatch

Prepare appointments and eligible resources before a load leaves the yard.

Step by step

  1. Plan the load Inventory Clerk

Inventory Clerk prepares the carrier, partner, equipment requirement and promised delivery time on a Scheduled load. Order the stops and confirm the appointment windows with the relevant locations. Keep the original promise available even if the operating arrangement later changes.

    • Scheduled load and ordered stops prepared
    • Updates Loads, Load stops, Transport partners
  2. Check resources Inventory Clerk

Inventory Clerk checks the driver's active state and eligibility date, then the vehicle's readiness and equipment class. Review reported defects and their repair and release evidence. An open Critical defect prevents release; an expired driver record requires resolution before the assignment proceeds.

    • Eligibility and defect evidence checked
    • Updates Drivers, Vehicles, Vehicle defects
  3. Confirm the commitment Inventory Clerk

Inventory Clerk enters the assignment interval and checks competing commitments for the same driver and vehicle. Move a Held assignment to Confirmed only after the interval is feasible. The clerk maintains the assignment; route approval remains a separate decision before dispatch.

    • Feasible Held commitment becomes Confirmed
    • Updates Load assignments, Loads
  4. Approve the route Transport Supervisor

Transport Supervisor checks the load plan and approves its route before dispatch. Retain the reviewed plan and supporting approval evidence. The supervisor's review does not transfer responsibility for assignment updates away from Inventory Clerk.

    • Route and supporting approval evidence reviewed
    • Updates Loads, Load stops, Load assignments, Record attachments
ApprovalA person approves before the work moves on.
  5. Record physical pickup Inventory Clerk

Inventory Clerk confirms actual pickup and advances the assignment from Confirmed to Dispatched when that event occurs. Retain the load's dock and seal context for the next handoff. Subsequent stop arrivals and departures are recorded against their own appointments.

    • Actual pickup and Dispatched assignment
    • Updates Loads, Load assignments, Load stops

Where it usually breaks

And how to keep it from happening.

  • The same vehicle is committed to overlapping intervals under different load numbers. Compare commitments by vehicle identity.
  • A Ready label obscures an unresolved Critical defect. Review the defect and release evidence before dispatch.
  • A changed appointment overwrites the promised delivery. Preserve the promise for the later performance comparison.
