Operation reconciliation

Compare stock evidence with authorized scope and investigate failed results using stable operation identities.

Step by step

  1. Choose the request Inventory Supervisor

Inventory Supervisor identifies the exact stock request and authorized quantity to check. Gather the posted movements linked to that request, retaining their item and movement direction. A load's completed yard visit does not supply a missing stock posting.

    • Exact authorized scope selected
    • Updates Stock requests, Stock movements
  2. Compare the evidence Inventory Supervisor

Inventory Supervisor runs reconciliation against the posted movement total. Matching evidence produces a verification receipt. If the total differs from the authorized quantity, the operation produces a failed receipt and leaves the request unchanged. Keep the failure reason available for the next investigator.

    • Verified result or Failed receipt without request change
    • Updates Stock requests, Stock movements, Operation receipts
  3. Resolve the discrepancy Inventory Supervisor

Inventory Supervisor inspects the underlying movements and supporting operating evidence. Inventory Clerk supplies the physical handoff context and attachments. Correct the cause through the relevant authorized process before repeating verification; do not remove an inconvenient receipt from the history.

    • Failure evidence investigated
    • Updates Stock movements, Record attachments, Operation receipts
  4. Repeat reconciliation Inventory Supervisor

Inventory Supervisor repeats reconciliation using the stable operation key derived from the request identity. The repeat must not duplicate an effect. Inspect the returned receipt before reporting a new verification result.

    • Reconciliation repeated with the stable request key
    • Updates Stock requests, Stock movements, Operation receipts
  5. Review the outcome Auditor

Auditor compares the resulting receipt with the request and movements. Transport Supervisor follows any related dock decision separately. Read-only review leaves reconciliation execution with Inventory Supervisor.

    • Resulting evidence inspected
    • Updates Stock requests, Stock movements, Operation receipts, Review decisions, Loads

Where it usually breaks

And how to keep it from happening.

  • The comparison includes movements from another request with a similar subject. Match the source reference.
  • Units or movement directions differ. Agree the comparison basis before interpreting the total.
  • A retry receives a new operation identity and repeats a completed effect. Keep the established request key.
