How a Accounting and Tax Firm PSA rollout works

Pilot an engagement from recorded work through filing billing and confirmed collection.

  1. Agree the practice boundary

Partner identifies the pilot practice, client owner and engagement manager. Choose a client assignment with a known fee, hours budget and filing deliverable. Agree the operating currency and external systems responsible for tax and accounting work.

  2. Map the opening records

Admin prepares practice and staff records before clients and engagements. Retain the original identifiers used for migration. Map the delivery records and filing payments to their correct parents, then reconcile opening fees and unpaid amounts.

  3. Configure responsibilities

Agree staff identity mappings, approval responsibilities and access to cost rates. Give Billing Specialist the filing billing and collection work. Test attachment access using the same accounts that will run the pilot.

  4. Rehearse ordinary work and exceptions

Submit a valid service line and a line without an engagement. Approve a filing deliverable and test invoice attempts with a missing amount or engagement. Inspect operation results and repeat the collection rehearsal with a partial amount.

  5. Review and release

Partner and Engagement Manager inspect the engagement economics and open obligations. Billing Specialist reconciles invoice references and confirmed payments. Resolve incorrect references and access failures before opening the next client assignment.

What the customer provides

  • Current client list, billing terms and engagement letters with agreed fees and delivery dates.
  • Practice structure, staff identities, rates and weekly capacity.
  • Open service work, time entries and expenses with receipt evidence.
  • Filing deliverable commitments, invoice references and confirmed payment records.
  • Approval policy and the named owners of tax, accounting and document connections.

Changing it afterwards

Use Proto to prepare a configuration change for review with the affected owner. Rehearse the changed permission, formula or handoff against the pilot cases before release. Keep prior documents and decision references so the team can still explain earlier work after a rate, owner or procedure changes.

Prepare the first operating cycle and review the pricing policy.
