What you can do

Keep the client amount tied to its evidence

A freelancer needs to explain what a client document covers before asking someone to approve it. Accounting Preparer records the subject, requested date and amount, then links the document to the client and the organization doing the work. A stable record number gives both people the same item to discuss when a client asks about a charge.

Keep the document owner visible throughout preparation. The person collecting evidence may also execute the eligible action after approval, but Accounting Reviewer makes the independent decision. The reviewed revision identifies the amount and supporting material considered at that point. A later correction returns to review before it changes an authorized financial outcome.

How the work is organized

  • Prepare the client context. Select the business partner in the correct organization and confirm its eligibility note. Record a subject that the reviewer can connect to the underlying work. Attach the material supporting the amount before submitting the document for review.
  • Decide the revision. Accounting Reviewer examines the submitted revision and records Approve, Reject or Return with a reason. Returned work goes back to preparation. The preparer resolves the reason and submits the corrected revision so the next decision addresses the changed amount.
  • Follow execution evidence. An authorized document becomes eligible for the relevant action. Keep the operation receipt and actual effect references available beside the document. Use those records when checking posting or completion, especially after an interrupted action.

What to agree during setup

Agree how record numbers distinguish client work and who owns preparation when a bookkeeper assists the freelancer. Choose the documents that support an amount and the circumstances that require a return for correction. Test that the reviewer belongs to the intended organization and is independent of the submission.

Decide how invoice delivery will work with any connected service. Keep its acknowledgement separate from the internal review decision. Establish which reference identifies the same instruction on a repeated request, and who investigates a failed operation before anyone starts another attempt.

Check the handoff on an actual case

Use a design engagement with an agreed USD 900 charge. Accounting Preparer records the client, attaches the supporting material and submits the current revision. Accounting Reviewer notices that the attachment supports USD 850 and returns it with an explanation. The preparer resolves the discrepancy and submits the revised document.

Ask the reviewer to locate both the earlier reason and the current amount before approving. Then run the eligible action and trace its receipt back to this document. Repeating the same request should leave the original effect identifiable. A similar subject or client name must never substitute for checking the record number and revision.

What your team sees

  • Open accounting documents — Find client documents still being prepared, reviewed or processed.
  • My accounting documents — Work through documents assigned to the signed-in preparer.
  • Accounting workboard — Compare document progress by status without losing the responsible owner.

Follow the work through

Follow document review and posting and reviewed corrections. Agree the operating boundary in the implementation plan.
