What you can do
Put the requested principal into a reviewable application
Credit Officer starts with the farm borrower and the reason for the loan. The application brings the subject, requested principal and responsible team member together under a record number. Its revision identifies the version the team is preparing. Keep that reference visible when discussing the case with the borrower or handing it to Independent Credit Approver.
Preparation also connects the account directions and supporting documents. The debit and credit amounts need to describe a balanced instruction for the intended provider accounts. The officer should be able to explain the requested principal from the application and then show the account entries that will carry the instruction. Supporting files remain attached to the same application through review.
How the work is organized
- Assigned preparation. Credit Officer works from applications owned by their team identity. Confirm the borrower and lending organization before entering the requested amount. Use Draft while preparing the case and Review when requesting underwriting of the completed revision.
- Instruction scope. Inspect the debit and credit account entries linked to the application. Confirm account ownership, direction and amount together. A balanced total still needs the correct borrower accounts; using the wrong account with an equal amount does not make the instruction eligible.
- Supporting documents. Upload evidence with an understandable title, evidence type and visibility. Retain the upload time and responsible team member. Internal and Shared visibility require an agreed access policy so a supporting file reaches only the people entitled to read it.
What to agree during setup
Define the evidence the lender requires for its first farm-credit case and who checks its relevance. Agree how the team numbers applications, identifies revised requests and decides which documents can be shared. Establish how the current user’s team identity resolves to application ownership before enabling personal worklists.
Confirm when the submitted date is recorded and how the team uses the value date. These dates serve different operating questions. The submitted date helps trace the request; the value date helps the team discuss the intended financial effect with its provider. Neither date substitutes for a verified confirmation. Follow the implementation plan to rehearse these distinctions with the pilot team.
Check the handoff on an actual case
Prepare a rehearsal request for seasonal seed purchases with a principal of $8,000. Credit Officer adds the farm’s supporting document and checks the debit and credit amounts of $8,000 already linked to the intended accounts. Independent Credit Approver should be able to identify the same application, borrower and revision from the review queue.
Next, change the request after the reviewer has opened it. The earlier decision must not apply to the changed revision. Send the corrected request back through review and retain the reason for the change. Also test a credit amount of $7,900 against the $8,000 debit so the team can recognize an unbalanced preparation before provider submission.
