Client rate cards
Every client pays brokerage on its own terms. A flour mill may pay a fixed amount per metric ton on the seller side, an exporter a percentage of deal value on the buyer side, and a small trader a flat fee per deal with a minimum. A rate card records those terms for one client, for the seller side, the buyer side or either side, for one commodity or all of them, between two dates. The Brokerage Owner activates it before any deal can use it, so the brokerage on every line traces back to a decision someone made.

What you can do
Combine the terms the client agreed
A rate card can mix its components. The commission on a deal is the percentage of deal value, plus the amount per metric ton, plus the flat fee, and never less than the minimum per deal.
| Component | How it counts |
|---|---|
| Rate % | Deal value × rate ÷ 100 |
| Per MT rate | Quantity in metric tons × rate |
| Flat fee per deal | Added once per deal |
| Minimum per deal | Charged instead when the total is lower |
The terms summary on each card spells this out in one line, for example 0.5% of value + ₹20/MT · min ₹500, so the broker and accounts read the same terms the client agreed.
One card per client, side and commodity
Applies To decides which side of a deal a card prices: Seller side, Buyer side or Either side. A card without a commodity covers everything the client trades. A card for a named commodity takes precedence for deals in that commodity, so a client can pay one rate on wheat and another on pulses without the broker remembering the exception.
Activate before use
A new card starts in Draft, and a draft card never prices a deal. The Brokerage Owner reviews it in Draft Rate Cards and sets it to Active. Active Rate Cards then shows every card in force, with its terms summary, dates and the number of commission lines using it.
When a client renegotiates, enter the new terms as a new card with its own Effective From date and set Effective To on the old one. Lines keep the card that priced them, so last month’s brokerage does not change. Editing the rates on a card already in use would change the commission on every line that uses it. A daily job moves Active cards past their Effective To date to Expired.
What to agree during setup
Agree who drafts cards and who activates them. Decide whether general client-wide cards are the norm, with commodity cards for exceptions, and how a client’s confirmation of new terms is noted in the card’s terms notes. Agree the naming convention, for example client, commodity and financial year.
Check the handoff on an actual case
Take one client who buys and sells. Draft a seller-side card with a per-MT rate and a minimum, and a buyer-side card at a percentage of value for one commodity. Activate both. Book a deal for that client in that commodity and check that each line names the right card and shows Commodity-specific or Client-wide. Then add a new card from next month, set Effective To on the old one, and check that the earlier deal keeps its card.
