Deals and pipeline
A deal is the trade the brokerage arranged: one seller, one buyer, one commodity, a quantity in metric tons, a rate per metric ton, the quality grade, delivery terms, the delivery location and the date delivery is due. It is the record that commission, invoicing and settlement hang from. Its status is not only a label: moving a deal to Delivered, Settled or Cancelled changes the billing status of its commission lines.

What you can do
Book the trade
The Broker records the deal with both parties, the commodity, the broker who arranged it, quantity, rate per MT, quality grade, delivery terms such as Ex-Warehouse, FOR Destination, Ex-Mandi or FOB Port, the delivery location, the delivery due date and the lead source. Deal value is quantity times rate. As soon as the deal is saved, a Seller commission line and a Buyer commission line appear with each party’s rate card already chosen.
| Field | Why it matters later |
|---|---|
| Seller and Buyer | Each side’s commission line and rate card |
| Commodity and deal date | Which rate card applies |
| Quantity and rate per MT | Deal value and the commission calculation |
| Lead source | Which sources convert and pay best |
Move it on the board
The Deal Board groups deals by status: Negotiation, Confirmed, In Delivery, Delivered, Settled and Cancelled. Drag a card to move it. Every status change stamps Stage Since, so the pipeline dashboard can show how long deals sit in each stage. Deals in Negotiation lists the trades still being worked, with value, broker and lead source.
- Delivered. Unbilled commission lines are invoiced, with a due date from the client’s credit days.
- Settled. Set automatically when every line on a delivered deal is paid or waived.
- Cancelled. Lines not yet paid are waived. Moving the deal back to an open stage reinstates them.
Follow deliveries due
The Delivery Calendar places confirmed and in-delivery deals on their delivery due date, coloured by status, so the broker sees which deliveries fall this week and which are late. Changing a deal’s parties, commodity or date reprices its automatically matched commission lines.
What to agree during setup
Agree the deal number format, the delivery terms and quality grade wording the desk uses, and who may move a deal to Delivered, since that step invoices the commission. Decide whether a deal is booked at Negotiation or only once confirmed.
Check the handoff on an actual case
Book a deal and check both commission lines appear with rate cards. Drag it to Confirmed, In Delivery and Delivered and check Stage Since and the lines’ billing status at each step. Cancel a second deal and check its lines are waived, then reopen it and check they return to Unbilled.
