Invoicing and receipts
Brokerage is earned when the goods are delivered and collected over the following weeks. This module invoices each commission line when its deal reaches Delivered, records the payments clients make against their lines, and keeps the outstanding balance the same for the owner, the accounts team and the client.

What you can do
Invoiced on delivery
When a deal moves to Delivered, every Unbilled line on it becomes Invoiced. Invoiced On is set to that day and the due date to that day plus the client’s credit days, or 30 days when the client has none recorded. A client with 15 credit days is due in a fortnight; a slow-paying exporter on 45 days has longer. Lines on a cancelled deal are waived instead, unless already paid.
Record what was received
Accounts records each payment as a commission receipt against a line, with amount, date, mode and reference.
- Modes. Bank Transfer, UPI, Cheque and Cash.
- Party. Filled from the line when left blank.
- Paid. When the receipts cover the final commission, the line becomes Paid.
- Part payment. A part payment on an unbilled line marks it Invoiced; reducing a receipt on a paid line returns it to Invoiced.
When every line on a delivered deal is paid or waived, the deal moves to Settled by itself.
Follow what is owed
Outstanding Commission lists every line with an amount still due. Overdue Commission narrows it to invoiced lines past their due date. Each client record shows commission earned, received and outstanding, and the number of commission lines, so the Broker can see a slow payer before arranging the next deal. Recent Receipts shows the last month’s payments with their references for matching to the bank.
| Field on the client | Meaning |
|---|---|
| Commission earned | Total final commission on the client’s lines |
| Commission received | Total of the client’s receipts |
| Commission outstanding | Earned minus received |
| Credit days | Days to pay after invoicing |
What to agree during setup
Agree each client’s credit days before the first delivery. Agree how bank payments are matched to lines and who records receipts. Decide how often overdue commission is followed up and when a client with overdue brokerage is held back from new deals.
Check the handoff on an actual case
Deliver a deal and check both lines are invoiced with the right due dates for each client’s credit days. Record a part payment and then the balance, and check the line moves to Paid and the deal to Settled. Let an invoiced line pass its due date and check it appears in Overdue Commission.
