What you can do
Make the crew handoff explicit
Clinical Governance Administrator maintains the people and credential evidence used when assigning transport work. A team member links to a user account and carries an active indicator. Credential records describe the privilege type, issuing authority and evidence reviewed. Eligibility dates let the administrator compare the credential with the work being arranged.
An assignment records who is responsible for a load during a stated interval. Its purpose explains why that person is attached to the work. When responsibility changes, the earlier assignment can end while a new assignment records the incoming person. Keeping both records helps the team understand which crew member was responsible when a service episode took place.
How the work is organized
- Review professional evidence. Clinical Governance Administrator checks the license number, issuing authority and verification attachment before marking a credential Verified. Pending, Suspended and Expired records remain visible for separate follow-up. Review the privilege type that applies to the intended activity.
- Record the interval. Enter the load, assigned driver, purpose and start and end dates. Compare the interval with the person’s eligibility. An Active assignment describes the recorded responsibility; it also gives the coordinator a reference when arranging the associated stop.
- End and replace deliberately. Mark the outgoing assignment Ended and retain its end date. Record the incoming person’s interval separately. Revisit any affected stop with Clinical Coordinator so its assigned crew agrees with the intended handoff.
What to agree during setup
Agree how local job titles map to the app’s clinical roles and credential types. Keep the credential description precise enough for the administrator to distinguish documentation, prescribing and review responsibilities. Set an operating routine for checking eligibility dates before assigning the next service period.
Decide how a crew member’s user account is matched to their team record. Rehearse an account change and an inactive team member. The people responsible for access should understand when an account change also requires attention to existing assignments. Agree the date conventions used for crew intervals and service records before importing historical work.
Check the handoff on an actual case
Prepare a transfer whose first crew member becomes unavailable before the return. Clinical Governance Administrator reviews the incoming person’s credential evidence and the relevant eligibility dates. The outgoing assignment is ended, and the replacement receives a separate active interval for the same load.
Clinical Coordinator then checks the return stop’s assigned crew. The prior stop should continue to identify the person who performed it. Review the assignment history with Clinical Reviewer and confirm that it explains the change without suggesting the incoming person completed the earlier work.
Repeat the exercise using an Expired credential. The administrator should pause the assignment decision, resolve the evidence with the appropriate person and retain the distinction between the expired record and a later verified credential. This rehearsal establishes the team’s review routine before shifts become busy.
