What you can do
Account applications in daily work
Track a provider-authorized account opening through submission, decision and provider completion. An ATM operator needs a provider-held account for a banking arrangement. The preparer links the application to the parent instruction and organization, records the applicant and initial deposit amount, and submits a frozen revision with supporting evidence. The independent approver decides that same revision. The parent instruction and application revision give the approver the context for a decision. Keep the provider application reference with the case so the team can distinguish internal approval from the later provider grant.
How the work is organized
- Preparation. Maintenance Preparer records the assigned work and supporting context for the organization.
- Decision. Independent Maintenance Approver checks the current revision and records a decision when authority is required.
- Verification. Operations Analyst compares recorded effects with provider evidence; Auditor can inspect the retained history within assigned scope.
What to agree during setup
Approval is an internal authority to proceed; completion follows the provider opening the account. Keep the provider application identifier and decision date with the application. A change in applicant or deposit after submission needs a new review of the revised application. A rejected application remains visible rather than disappearing from the operating history. Agree the provider identifier that the team will use for follow-up and the evidence type that distinguishes a request from a confirmation. Set organization membership before giving anyone access to a record. Test a disabled person, another organization’s record and a stale revision. A read-only audit path should show the old decision as well as the current state.
Check the handoff on an actual case
Take an application linked to a reviewed instruction. Have the Maintenance Preparer record the applicant, initial deposit and supporting attachment, then submit its revision. The Independent Maintenance Approver checks that same revision and records a decision. An internal approval leaves the application Approved while the provider has not granted account authority. Add the provider application reference when it arrives and move to Completed only after the provider grant is confirmed. Keep the rejected case and its reason available beside the accepted case.
Change the application after review and require a new decision on the changed revision. Inspect the parent instruction and the attachment before recording another result. An Auditor should be able to tell who decided and what provider authority actually arrived.
What your team sees
- Account applications awaiting decision — Submitted applications with their parent instruction, applicant, deposit and revision ready for an independent decision.
- Account application board — Draft, submitted, approved, rejected and completed applications by status.
Follow the work through
Follow the instruction cycle and use the implementation guide to rehearse it with your provider references. The data model shows the record links that carry each handoff.
