What you can do
Account scope in daily work
Define which financial accounts are debited and credited for a banking instruction. An operator prepares a transfer for an expected settlement. Its debit and credit account rows identify where the amount leaves and where it arrives. Finance compares the signed sides before review; an amount on the instruction alone cannot tell the reviewer whether the scope balances. The linked account codes and external IDs give the reviewer a way to check the debit and credit scope. Agree the intended provider and account currency before an instruction enters review.
How the work is organized
- Preparation. Maintenance Preparer records the assigned work and supporting context for the organization.
- Decision. Independent Maintenance Approver checks the current revision and records a decision when authority is required.
- Verification. Operations Analyst compares recorded effects with provider evidence; Auditor can inspect the retained history within assigned scope.
What to agree during setup
Account codes and external account identifiers come from the provider account records. Keep the provider, currency and active flag current. Check that each account belongs to the intended provider and that the instruction is in the right organization. If a provider changes an account identifier, investigate the affected instruction before using it again. Agree the provider identifier that the team will use for follow-up and the evidence type that distinguishes a request from a confirmation. Set organization membership before giving anyone access to a record. Test a disabled person, another organization’s record and a stale revision. A read-only audit path should show the old decision as well as the current state.
Check the handoff on an actual case
Take an instruction with one debit account and one credit account. Check that both financial accounts are active and belong to the intended provider. Set the amounts so debit and credit balance, then change one side and try review again. The unbalanced revision should wait for correction. Retain each account’s external ID and currency so the provider’s statement can later identify the same account.
After authorization, inspect the account links before sending the instruction. A provider movement against another account cannot reconcile merely because its amount matches. The Independent Maintenance Approver sees the scoped accounts and current revision; the Auditor can trace which account link supported a confirmed movement.
What your team sees
- Active financial accounts — Provider-held accounts with their account code, external ID, currency and owner.
- Authorized instructions — Approved instructions whose debit and credit account scope is ready for provider submission.
Follow the work through
Follow the instruction cycle and use the implementation guide to rehearse it with your provider references. The data model shows the record links that carry each handoff.
