What you can do
Banking instructions in daily work
Prepare a banking instruction with a named owner, organization, provider, amount and value date. A preparer at an ATM operator needs to move funds between provider-held accounts before a settlement date. She opens the instruction, checks the provider and the amount, and attaches the supporting request. The requested value date is visible to the reviewer, but it does not by itself show that a provider has accepted the work. The record number follows this instruction through review and provider response. Agree which document supports the amount, who owns the request and which provider response will establish the actual effect.
How the work is organized
- Preparation. Maintenance Preparer records the assigned work and supporting context for the organization.
- Decision. Independent Maintenance Approver checks the current revision and records a decision when authority is required.
- Verification. Operations Analyst compares recorded effects with provider evidence; Auditor can inspect the retained history within assigned scope.
What to agree during setup
The record number is the common reference when treasury, a reviewer and a settlement partner discuss the same instruction. Keep the subject specific enough to identify the purpose. Assign the owner within the right organization and choose a service provider already eligible for that organization. A later correction belongs to a revised instruction and a retained decision; the original evidence stays available. Agree the provider identifier that the team will use for follow-up and the evidence type that distinguishes a request from a confirmation. Set organization membership before giving anyone access to a record. Test a disabled person, another organization’s record and a stale revision. A read-only audit path should show the old decision as well as the current state.
Check the handoff on an actual case
Create a draft for an active provider with a named owner, amount and value date. Add balanced debit and credit accounts and the supporting request. The Maintenance Preparer sends it to Review; the Independent Maintenance Approver checks that exact revision. Change the amount after the decision and verify that the prior approval does not authorize the changed instruction. A rejected revision keeps its decision reason.
Once authorized, submit it and retain the provider instruction ID. Leave it Submitted or Pending when the provider has acknowledged the request without confirming an effect. Only verified confirmation or settlement evidence supports Confirmed. The Auditor can follow the instruction from its record number through the decision and provider evidence.
