What you can do
Provider outcomes in daily work
Separate an authorized instruction from a verified provider effect. After authorization, a preparer sends an instruction to the provider and records the provider instruction reference. That reference helps find the request, but it is not proof of settlement. The provider confirmation or settlement notice is recorded as evidence, with its event identifier and occurrence date where available. The provider instruction ID identifies the request while the evidence identifies the effect. Agree which provider document counts as confirmation and retain later corrections beside the original event.
How the work is organized
- Preparation. Maintenance Preparer records the assigned work and supporting context for the organization.
- Decision. Independent Maintenance Approver checks the current revision and records a decision when authority is required.
- Verification. Operations Analyst compares recorded effects with provider evidence; Auditor can inspect the retained history within assigned scope.
What to agree during setup
A delayed response remains pending while the team checks with the provider. Do not mark the instruction confirmed merely because submission succeeded. If the provider reports a correction, retain it beside earlier statements and confirmations. Use the operation receipt to separate the action requested from the effect that actually persisted. Agree the provider identifier that the team will use for follow-up and the evidence type that distinguishes a request from a confirmation. Set organization membership before giving anyone access to a record. Test a disabled person, another organization’s record and a stale revision. A read-only audit path should show the old decision as well as the current state.
Check the handoff on an actual case
Submit an Authorized instruction and record the provider instruction ID. An acknowledgment leaves the instruction Submitted or Pending while its actual effect is unresolved. Capture a provider confirmation or settlement notice as work evidence under the same parent. Check its source reference, occurrence date and Verified value before changing the instruction to Confirmed.
Now introduce a late provider response and a Correction notice. Keep both with the earlier evidence rather than treating a local cancellation as a provider reversal. Compare the operation receipt with the actual instruction and evidence records. The Auditor can trace the provider result to the authorized revision and the separate review decision.
What your team sees
- Provider outcomes to verify — Submitted and Pending instructions with provider reference and amount awaiting evidence.
- Confirmed instructions — Instructions whose provider evidence supports a recorded confirmation time.
Follow the work through
Follow the instruction cycle and use the implementation guide to rehearse it with your provider references. The data model shows the record links that carry each handoff.
