What you can do

Keep the operating record clear

A print is held in one warehouse. Its inventory row distinguishes quantity on hand from quantity reserved, while the order item retains the amount to ship and the amount already fulfilled. A shipment has a warehouse, shipping method, carrier details and its own progress status. That lets the floor team work the physical order without changing its payment record.

Warehouse Operator compares the order item quantity with on-hand and reserved stock for the variant in the chosen warehouse. The shipment keeps its own status, carrier and tracking reference. Customer Service Rep uses that record to answer delivery questions without treating a picked or packed item as already shipped.

How the work is organized

  • Availability. Check on-hand and reserved quantities for the exact variant and warehouse code.
  • Parcel. Connect the shipment to the order and shipping method before recording carrier or label details.
  • Transit. Move the shipment through picked, packed, in transit and delivered states only as the parcel progresses.

What to agree during setup

Agree warehouse codes and who can adjust on-hand and reserved quantities. Check which variants require shipping and which method is valid for each catalog. Decide when a label reference is entered and how returned parcels are recorded. Separate a packed parcel from one actually handed to a carrier.

During the pilot, assign the exception owner and record the decision on the related order or catalog. Check the next handoff against the saved status, date and linked records before more staff start using the process.

Check the handoff on an actual case

Pick one authorized order with a shippable item. Match its SKU and quantity to the stock row, create or inspect the shipment, then trace picked, packed and transit status. Use a second order with insufficient available stock to rehearse escalation before a promise is made.

Use the same case to rehearse access. Have the next owner explain the saved record, perform the permitted action and show the resulting status to the following owner. Correct a broken handoff before expanding the pilot.

What your team sees

  • Shipment Queue — Shows the cases and current status for this module’s owner.
  • Shipments In Transit — Separates cases that need a second check or decision.

Follow the work through

See the operating process for the connected handoff. Implementation gives the pilot sequence, and roles sets access before people start editing records.
