What you can do
Define the work before it reaches execution
A stock request states what the team wants to receive, move, reserve or issue. Inventory Clerk gives it a record number and subject, an owner and organization, a required date and requested units. Item and location references connect the instruction to stock the team can identify. The counterparty on this record is also a storage location.
Draft work is prepared for review. Inventory Supervisor decides on the current revision before approved work proceeds to execution. The request’s revision matters when quantity or scope changes during the handoff: an earlier decision must not be used as authority for a version the supervisor has not considered.
How the work is organized
- Preparation. Check the item, base unit and location context before requesting approval. Attach the document, photo or other evidence that helps the supervisor understand why the quantity is needed.
- Decision. Inventory Supervisor records Approved, Rejected, Returned or Escalated with a reason against the source revision. An approval authorizes the agreed request; a returned or escalated decision needs follow-through.
- Execution evidence. The approved action posts a signed movement, adjusts the lot balance and leaves a receipt. Executed describes the request’s recorded progress, while reconciliation checks whether its movement evidence matches the authorized quantity.
What to agree during setup
Agree how the clerk prepares Draft work for the Review state and what evidence the supervisor expects to see. Clarify the role of both location references on a move request so the same record is interpreted consistently by the clerk, the reviewer and any connected system.
Define how the team handles Returned and Escalated decisions. The reason should identify the issue, such as an unclear quantity basis or an unresolved location question. Agree the correction and resubmission path before release. A new review should use the current revision after the clerk updates the request, and a close required date should not bypass that check.
Check the handoff on an actual case
Rehearse a request to move components from an induction location into storage. Inventory Clerk records the required date and requested units in the item’s base unit. Inventory Supervisor reviews the location context, decides on the current revision and explains the reason for approval.
Change the requested units before attempting the old review action again. The stale revision must be refused. Repeat a valid review with its original operation key and equivalent input; it should replay the recorded decision instead of creating another effect. Finally, try reviewing a request already marked Executed or Cancelled and confirm that the action refuses it.
