What you can do

Start with the submitted work

Employees enter leave requests and weekly timesheets. A leave request has start and end dates, type, status and approver. A timesheet has a week, employee, status and hours; its entries record day, hours and category. Managers need a consistent review point before the information is used in pay preparation.

Payroll Admin prepares a run for a calendar and period. Pay statements link each employee to that run, and statement lines describe earnings, deductions and taxes. The payroll run carries pay date, run type, gross and net totals, status and approval reference. Tax filings can then refer to the run and jurisdiction.

How the work is organized

  • Employee entry. Employee drafts and submits leave or time. The approver checks the date or hours before the status moves to Approved.
  • Payroll preparation. Payroll Admin selects the calendar, period and pay date, reviews employee eligibility and prepares statements and lines.
  • Release. Admin records the pay-run approval. Payroll Admin records the later Posted, Paid and Closed states after the corresponding operating actions.

Leave balances show accrued, taken, pending and carryover amounts as of a date. Compare a proposed leave request with that balance before approval. A payroll calendar identifies frequency, entity, country, currency and cutoff days; pay runs should use the calendar that belongs to the employee population.

What to agree during setup

Agree who approves leave and time, and how those decisions are recorded when the approver is an employee reference rather than a separate role. Define the period cutoff for normal and off-cycle runs. Decide who reconciles gross totals, net totals and statement lines before a run moves past approval. The person who prepares the run should not treat a draft total as a final payment amount.

Choose how payment execution and statutory submission are handled outside the app, then record the confirmed result in the relevant status and filing reference. Make corrections through a documented run type so Payroll Admin can distinguish a regular run from a retro or correction.

Check the handoff on an actual case

An employee submits a weekly timesheet with regular and overtime entries and requests leave spanning the next pay period. Admin reviews the submitted records and records the applicable approval outcomes. Payroll Admin checks the leave balance and prepares a run for the employee’s calendar and period. Statement lines show the pay components, while the run total gives the release reviewer a control total.

If the employee’s timesheet is rejected, it stays outside the approved input set until corrected. If a run is already Posted, use a correction run instead of silently changing a paid statement. The pay date and status then tell the team what was actually released.

What your team sees

  • Payroll Approval Inbox — Runs awaiting a release decision, with period, pay date and totals.
  • Leave Approval Inbox — Submitted leave with dates, employee and approver for review.
  • Leave Schedule — Approved and taken leave by employee and date.

Follow the work through

Use time to payroll for the period review and integrations to plan external payment and filing handoffs.
