How a Barbershop Management rollout works
Pilot a complete service day with the people who book, deliver and reconcile each visit.
Agree shop responsibilities
Property Manager owns booking and chair setup. Front Desk Agent coordinates reception and assigned service work. Finance Officer prepares charges and reconciles receipts. Agree the decisions Operations Reviewer makes before enabling the operating cycle.
Prepare the records
Gather chair numbers, types and capacities, dated rate plans and client contact details. Map each staff member to the correct platform account. Preserve existing appointment and payment references during import.
Configure the pilot day
Choose representative appointments, a lounge or treatment add-on and a sanitizing handoff. Agree the time convention and monetary basis. Review which rate plan applies to each pilot appointment and who resolves a conflict.
Rehearse the decisions
Try overlapping chair requests, an excessive client count and a repeated service-start submission. Review draft charges with Operations Reviewer. Test a pending payment and an explicit outstanding-account acknowledgment before completion.
Reconcile and release
Compare the pilot's posted charges with confirmed receipts, inspect unfinished service tickets and verify the chair-release decision. Have the operating owners review the outcome before using the setup for the next trading day.
What the customer provides
- Client contact details with stable identifiers for matching earlier visits.
- Chair numbers, chair types, capacities and current readiness.
- Rate plans with start and end dates, service rates and minimum sessions.
- Staff accounts, team-member assignments and the people responsible for charge review and inspection.
- Opening appointment, charge and payment records with the evidence needed to reconcile them.
Changing it afterwards
Use Proto to prepare a change for review by the affected owner. Rehearse the same conflicting booking, pending payment and failed inspection after changing permissions or workflow rules. Check that earlier appointments retain understandable charges and payment references. Keep an export of the starting records and agree the recovery approach before a larger migration.
