Integrations and source ownership

Set up payment confirmation and accounting handoffs around the appointment evidence.

  • Barbershop Management
  • Payment provider
  • Accounting platform

Systems to connect

  • Payment provider. Connect the shop’s chosen provider to the receipt-confirmation process. Agree how its payment reference, amount and result map to the appointment’s payment record. A provider acknowledgment establishes the payment outcome independently of service completion.
  • Accounting platform. Set up an export of reviewed service charges, add-on charges and payment outcomes to the shop’s chosen accounting system. Finance Officer owns the reconciliation between exported source records and the receiving system’s result.

How connections are governed

Treat each connection as a setup decision with an owner, field mapping and agreed acceptance check. Keep credentials in the approved secret store and restrict the connected actor to the actions it needs. Preserve the original provider reference when checking an uncertain outcome or replaying an accepted event.

Rehearse a pending payment, a confirmed receipt and a refund. Compare each external result with the appointment’s payment state before including it in reconciliation. For accounting exports, reconcile posted charges separately from draft or voided work. Record rejected transfers for Finance Officer to resolve before treating the receiving system as up to date.

Use the implementation plan to agree the pilot connection and its review owner.
