What you can do

Keep the extra service with the appointment

An add-on booking records a lounge or treatment service associated with a client’s appointment. Front Desk Agent or Property Manager captures its name, planned start and client count, then links it to the selected appointment. That link gives reception a way to follow the extra work when the client moves between the chair and a secondary service point.

The charge for an add-on is recorded separately. Finance Officer captures the service name, charge date and amount against the appointment, then sends eligible financial work through review. Keeping booking and charge records distinct allows a lounge reservation to remain visible without treating the booking itself as money collected or a charge already posted.

How the work is organized

  • Book the service. Choose Lounge or Treatment and use a service name the shop recognizes. Check the intended start and client count against the visit being served. The booking submission carries its linked appointment and acting staff identity into the review evidence.
  • Prepare the charge. Finance Officer records the amount and charge date as Draft. Match the charge to the correct appointment before presenting it for review. Similar client names or repeated visits should not determine the link by guesswork.
  • Review the outcome. Operations Reviewer checks the source evidence before authorizing an eligible Posted outcome. A subsequent permitted void uses Voided and stays distinguishable from a posted charge during reconciliation.

What to agree during setup

Agree the add-on names used at reception and in financial review. If the shop offers several treatments, the service name should allow Finance Officer to recognize what was booked and what the charge describes. Choose a clear convention for the planned start date and for recording the client count when a booking covers more than the main visitor.

Define the evidence Operations Reviewer needs before authorizing a charge or a void. Give reception a clear correction path when the wrong appointment was selected. Keep provider payment confirmation in the payment process, so the staff member recording a treatment does not have to interpret a charge state as a receipt.

Check the handoff on an actual case

Use a confirmed appointment for a client visiting chair A. Front Desk Agent records a Treatment booking with the agreed service name and start. Finance Officer then prepares the corresponding draft charge against that same appointment. Operations Reviewer checks the linked evidence and authorizes posting when the amount and service agree.

Open the appointment detail and the add-on screens after the submission. Reception should find the booking attached to the intended visit, while Finance Officer should see the charge in the correct financial state. During final reconciliation, its posted amount joins the posted service charges for that appointment. The booking remains useful operational context without adding its client count or service name to the money total.

Rehearse a charge entered against a different appointment and an attempted posting by an actor without permission. Correct the linked visit and route the decision to Operations Reviewer. Also rehearse a permitted void, then confirm that the voided amount is excluded from posted charges when Finance Officer checks the final appointment balance.
