What you can do
Put the right vehicle into service
A scooter at the correct dock may still need charging. A bike marked Available may have maintenance due. Fleet Technician checks the resource’s operating condition before Booking Coordinator offers it for a ride. The fleet record brings vehicle type, battery percentage, dock location and maintenance status into the same working context.
Use the organization and resource code to distinguish vehicles across operating areas. An e-bike at a campus dock and a scooter at a downtown dock should remain identifiable when staff move between shifts. The booking’s resource reference keeps that identity attached to the reservation; a familiar vehicle nickname is useful context but should never replace the selected record.
How the work is organized
- Readiness. Fleet Technician checks active state, availability and maintenance condition together. Available, Reserved, In Use, Charging and Unavailable describe different operating situations. A resource marked Out of Service must stay outside the eligible reservation pool.
- Location. Current dock location gives Booking Coordinator a practical handoff point. Fleet Technician updates it when the vehicle is moved and attaches supporting evidence where the move affects an existing booking.
- Accountability. App Administrator maintains the organization’s resource list. Fleet Technician handles operating condition, while Booking Coordinator uses the current resource record when checking a requested interval.
What to agree during setup
Agree which battery levels are acceptable for your ride offering and who can return a vehicle to service after maintenance. Keep those decisions specific to vehicle type and local operating practice. The recorded battery percentage is an observation; define how staff obtain it and when it needs refreshing before a reservation decision.
Choose stable codes for vehicles and docks, and agree the wording used for dock locations. Set organization time zones before staff enter booking times. Confirm who owns a mismatch between the stated dock and the location found during the handoff, including which evidence the Booking Supervisor needs when a ride is already affected.
Check the handoff on an actual case
Use a scooter assigned to a morning ride. Fleet Technician finds it charging with maintenance marked Due. Booking Coordinator leaves the customer request pending while the technician checks the vehicle. The technician records the current condition and availability; the coordinator then checks an eligible replacement against the customer’s interval.
Rehearse the opposite case as well: a vehicle is Available but another booking already holds the interval. The fleet condition alone cannot settle the reservation. Follow the resource into the booking and its reserved resource lines, including setup and cleanup time. Confirm the coordinator can explain why a ready vehicle may still be unavailable for that particular request.
What your team sees
- Fleet readiness — Active resources with operating condition, battery level and current dock location.
- Maintenance attention — Vehicles marked Due, In Maintenance or Out of Service for technician follow-up.
Follow the work through
Continue with Reserve and confirm, then review Cancellation and correction when a condition change affects an existing reservation.
