What you can do

Identify the physical stock being handled

Handling units give pallets, totes and other identified units a license plate, item, quantity and storage location. The custody owner explains who currently holds responsibility for that unit. Available, In Transit, Loaded, Staged, Held and Damaged states help staff describe the physical handling situation while investigating the associated stock work.

Loads record the carrier, dock door and seal number, with a load number that the team can recognize. Sequenced stops connect the load to a storage location and an appointment date. These records support the receiving or dispatch discussion while stock requests and posted movements remain the evidence for changes to inventory balances.

How the work is organized

  • Handling-unit identity. Inventory Clerk records the license plate, item and quantity at the current location. A named custody owner gives the team a person to contact when a unit is held, damaged or awaiting movement.
  • Load progress. The load state describes scheduled, arrived, unloading, loaded, departed or cancelled work. Carrier and dock details help staff locate the operation and discuss the next physical step.
  • Stop sequence. Each load stop has a sequence, location, appointment date and state. Staff can inspect Planned, Confirmed, Arrived, Completed or Missed stops when coordinating the dock’s work.

What to agree during setup

Choose the license-plate convention and decide how staff keep custody ownership current. Agree the meaning of each handling state and who can update it after a physical handoff. Record damage or a hold promptly so another person does not interpret an old Available state as the current situation.

Define how the load number connects to the carrier’s paperwork and who maintains dock and seal details. Set a clear practice for appointment dates and missed stops. If a scanning device or carrier service supplies these details, agree that connection during setup. Keep the stock posting action in the operating procedure so a physical status update is reconciled with the actual quantity effect.

Check the handoff on an actual case

Use a rehearsal pallet with a recognizable license plate and a familiar item. Record its quantity, location and custody owner, then ask a second team member to identify the same unit. Update its handling state after an agreed physical handoff and confirm that the saved owner still explains responsibility for the unit.

Create a load with a sequenced stop at the receiving location and an appointment date. Record arrival or a missed appointment and inspect the result in the load views. Prepare the associated stock request separately, execute its approved quantity and inspect the posted movement. The reviewer should be able to explain the physical activity and the inventory effect from their respective records without treating a load state as proof of posting.

What your team sees

  • Handling Units Register — License plates, custody owners and handling states at each location.
  • Loads Board — Carrier, dock and seal context beside each load’s current state.
  • Load Stops Schedule — Appointment dates and stop sequence for coordinating location activity.

Follow the work through

Prepare the stock scope with location and request preparation, then confirm its quantity effect through posting and verification.
