What you can do
Define the stock work before execution
The Inventory Clerk prepares a request with a recognizable number and subject, the stock item and required quantity. Location references identify the operating context, while the base unit explains what the quantity means. A required-by date and named owner make the request useful as a work item for the warehouse team.
A request can support receiving, moving, reserving or issuing stock. Agree how the selected action interprets the location references before execution. The Inventory Supervisor reviews the authorized quantity and records a decision against the request revision. Later movements and receipts remain linked to that request so staff can trace the actual stock effect back to the decision.
How the work is organized
- Preparation. The Inventory Clerk records the intended item, location and quantity in Draft. The subject should describe the work clearly, with relevant documents attached to the same request.
- Review. The Inventory Supervisor records an approval, rejection, return or escalation with a rationale. Stale revisions and requests already Executed or Cancelled are refused by the decision action.
- Execution ownership. An approved request provides the authorized scope for posting stock. The assigned owner can find the work and follow its recorded result without changing the quantity informally after execution.
What to agree during setup
Choose a request numbering convention and decide how subjects distinguish receiving from a location change or stock issue. Establish the meaning of the location and counterparty references for each action you intend to use. Confirm that the requested quantity uses the item’s base unit and agree how staff handle source documents expressed in another unit.
Name who resolves a returned request and who handles an escalated decision. The rationale should tell the Inventory Clerk what requires clarification. Set a review routine around required-by dates, with the Inventory Supervisor checking the current revision before deciding. Agree which attachments explain the request and who maintains their document links.
Check the handoff on an actual case
Prepare a rehearsal request to place a familiar item in a designated bin. Enter the base-unit quantity, required-by date and owner, then attach the inspection or receiving document used by the team. Ask the Inventory Supervisor to explain the authorized work from the saved request and its evidence.
Have the supervisor return the request for a quantity clarification. The clerk confirms the intended quantity. The Inventory Supervisor applies any authorized quantity correction through the correction action, then decides the current revision. Try an earlier decision request after that change and confirm that it is refused. Once approved, execute the request through the stock action and inspect the movement and receipt. The request should be recognizable throughout that chain from its number and subject.
