What you can do

Prepare the evidence behind the care assignment

A donor’s consent has a purpose and a version. The Clinical Coordinator or Licensed Clinician records those details with the signed date, expiry date and document. The donor’s overall consent status provides a useful starting point, while the consent record carries the specific evidence the team needs to review before the visit.

Professional credentials belong to team members. The Clinical Governance Administrator reviews the license number, issuing authority and verification attachment before marking a credential Verified. Effective dates describe the period being reviewed. A professional can hold different credential types, so the team must check the relevant type for the work being assigned.

How the work is organized

  • Consent evidence. Start a consent as Pending while the donor’s decision is being recorded. Mark it Signed when the signature is obtained and retain the document and version. Withdrawn and Expired keep later changes visible to colleagues checking the same donor.
  • Care responsibility. The Clinical Governance Administrator records the donor, screener, access purpose and effective period for each assignment. Mark an assignment Ended when that responsibility finishes. Review overlapping assignments with the people taking over the work.
  • Professional verification. Open the Credential Verification Inbox and inspect the issuing authority and supporting evidence. The Clinical Governance Administrator decides whether the credential can become Verified. Suspended and Expired remain distinct conditions for subsequent review.

What to agree during setup

Agree the consent purposes and document versions your team uses. Define who checks withdrawals and expiry before a scheduled donation, and how that person informs the Clinical Coordinator. Keep document naming clear enough that the person reviewing consent can open the intended version without guessing from an attachment name.

For care assignments, agree the start and end conventions and what each access purpose means in daily work. Review the credential types with the Clinical Governance Administrator. Configure access using the organization’s care policy, and rehearse it with actual team accounts before opening sensitive donor information to a wider group.

Check the handoff on an actual case

Use a donor who has signed a collection consent and later withdraws it. The Licensed Clinician records the change on the relevant consent. The Clinical Coordinator checks the overall donor consent status and reviews any scheduled visit under the team’s procedure. The rehearsal should show who notices the withdrawal and who takes responsibility for contacting the donor.

Next, use a covering screener whose credential is still Pending. The Clinical Governance Administrator inspects the verification evidence and effective period before making a decision. Rehearse an expired credential as well. Ask the receiving clinician to explain which care assignment is active and which consent applies. Their answer should come from the records they are permitted to read.

What your team sees

  • Pending Donor Consents — Find consent decisions still waiting for completion and document review.
  • Active Care Assignments — Inspect the donor, responsible screener and effective assignment period.
  • Credential Verification Inbox — Review pending professional evidence before verification.
