What you can do

Make the next action traceable

A unit issue record identifies the component, lot number and quantity, with the measurement unit used by the team. It points to the donation and the professional who authorized the action. The Licensed Clinician checks these details against the organization’s issue procedure before recording the event. The authorizing professional should be recognizable to colleagues reviewing the donation later.

Donor follow-up work belongs to the donor and has its own assigned team member. The task explains what needs attention, while the due date tells the owner when it is expected. Keep a clinical follow-up action specific enough that another clinician can continue it if responsibility changes. A general reminder without a useful task description leaves the receiving person to reconstruct the reason for contact.

How the work is organized

  • Issue detail. The Licensed Clinician records the component, lot, quantity and unit against the intended donation. Identify the authorizing professional as part of that entry. Review any inconsistency between the written issue instruction and the saved record before handing over.
  • Follow-up ownership. The Clinical Coordinator creates the donor task with an assigned team member and due date. The Licensed Clinician moves it from Open to the in-progress state when work starts. Keep the owner current when someone else takes responsibility.
  • Completion or escalation. Record Completed with the actual completion date when the task is finished. Use Escalated when the owner needs further attention from the team, and Cancelled when the task is withdrawn. Agree who reviews escalated work during each operating cycle.

What to agree during setup

Choose the component and unit wording used in issue records. Decide how lot numbers are checked and how the authorizing professional is identified. Review the clinical issue procedure with the people who enter and inspect these records, including how they correct an entry made against the wrong donation.

For follow-up, agree what constitutes completion for each common task and who receives an escalation. Keep the task text focused on the action the assigned clinician must take. Configure personal task screens against the signed-in team member so the clinician starts with the work they own. Review reassignment with both the outgoing and receiving person.

Check the handoff on an actual case

Rehearse a component issue whose quantity was written using a different unit from the team’s usual entry. The Licensed Clinician checks the instruction, confirms the intended quantity and unit with the authorizing professional, then records the issue against the correct donation. The Clinical Reviewer should be able to explain the saved entry without assuming a conversion that was never agreed.

Next, create a donor callback task for the same operating cycle. The assigned clinician starts the work but cannot complete the action. Mark it Escalated and rehearse the coordinator’s response. When the task is eventually completed, confirm that its completion date and current owner make the outcome clear to a colleague returning on the next shift.
