Systems to connect
- Laboratory system. Set up a connection when results originate outside the app. Map each result to the intended donation and carry its test type, numeric value, measurement unit, test date and authorizing team member. Assign mismatches to a person who can resolve the source record.
- Document service. Plan transfer when donor documents or professional verification files are held elsewhere. For donor documents, map the file, purpose, version and signature details to the donor attachment. For professional verification, attach the evidence to the clinician’s privilege record and retain its license number, issuing authority and effective period. The Clinical Governance Administrator checks privilege evidence; the Clinical Coordinator or Licensed Clinician checks donor attachments.
- Accounting system. Connect the external invoicing process to the donation charge handoff. Agree how the Clinical Coordinator confirms that a charge has reached the Invoiced state and where the financial reference is maintained.
- Payment service. Set up receipt transfer if donor payment records are maintained in another service. Confirm the donor, amount, receipt date and reference before marking the payment Confirmed.
- Donor communication service. Agree an external connection for messages supporting scheduled visits and follow-up. Define who approves the communication and how the team handles an unsuccessful delivery.
How connections are governed
Each connection needs an owner, a source-to-record mapping and a rehearsal with a normal case and a failed handoff. Agree how duplicate submissions are recognized before importing operational records. Keep clinical interpretation with the authorized clinical team and financial confirmation with the person responsible for the receipt.
Start with a small transfer that the receiving person can reconcile manually. Check the donor and donation references before extending the connection to a wider operating cycle. Record unresolved questions as assigned follow-up work and review them before release. Use implementation to agree the first connections and the evidence each owner will inspect.
