What you can do

Read payment events in their booking context

The Finance Reviewer uses payment evidence to understand the provider events associated with a booking. Each event has a provider identity, reference, occurrence time and USD amount. Its type distinguishes an Authorization from a Capture, Refund or Void, while the verification flag records whether the evidence has been checked.

The booking’s quoted amount gives finance useful commercial context. The reviewer considers that quote alongside the provider evidence and the actual booking outcome. A canceled service, completed journey or no-show may each require a different follow-up conversation with the Booking Coordinator and the provider’s responsible operator.

How the work is organized

  • Provider identity. The provider event identifier and reference allow finance to locate the corresponding event in the payment service. Retain those values when investigating an unexpected amount or a notification that appears to have arrived more than once.
  • Event meaning. Read the payment type before interpreting the amount. An authorization records a different provider event from a capture, and a refund or void needs its own context. Group related evidence under the correct booking when discussing the customer’s position.
  • Verification work. Check the provider evidence before marking it verified. Keep the occurrence time and booking reference clear so another Finance Reviewer can follow the same investigation. Ask the Booking Coordinator to attach supporting files for the reconciliation conversation.

What to agree during setup

Configure the payment provider connection with the person responsible for that service. Agree how provider events are identified, mapped to bookings and checked before verification. Define how repeated notifications are handled and who investigates an event that cannot be confidently matched to its booking.

Booking quotes and payment event amounts use USD. Agree how the connected provider supplies those amounts when the carrier organization uses another currency for its wider operations. Identify the person who handles refund or void decisions in the provider service and the Finance Reviewer who checks the resulting evidence here.

Check the handoff on an actual case

A customer confirms a charter booking and the payment provider records an authorization. The Finance Reviewer locates the event by its provider reference and confirms that it belongs to the intended booking. Check the type, time and USD amount before marking the evidence verified.

When a capture event arrives, review it separately and compare it with the booking’s commercial context. The coordinator should be able to find the booking without interpreting every provider detail, while finance can explain the evidence behind the payment follow-up.

Now rehearse a canceled booking with a refund event. Check the provider reference, event type and amount, and retain the resulting evidence with that same booking. Repeat the exercise with a duplicated provider notification and an unverified amount. The Finance Reviewer should recognize the existing event and investigate the discrepancy before counting the amount again or treating the customer conversation as settled.

What your team sees

  • Payment captures — Capture evidence with provider references, USD amounts and verification state.
  • Refund evidence — Provider refund events linked to the booking being reconciled.
  • Completed bookings — Service outcomes that finance can compare with the retained commercial and provider evidence.
