What you can do
Make the resource arrangement explicit
The Dispatcher uses the carrier’s resource directory to identify coaches, drivers and partner operators involved in a booking. A resource has a name, code, contact and eligibility note within its organization. Reservation lines connect the selected resources to the booking and retain the capacity and units being reserved.
The line details support a practical dispatch conversation. Setup and cleanup minutes describe time allowances around the service, while the confirmation time records when the arrangement was confirmed. The Dispatcher reviews these details with the booking window and the departure plan before submitting the service for release review.
How the work is organized
- Resource identity. The resource code distinguishes similarly named coaches or partner contacts. Active status and the eligibility note give the Dispatcher information to check before assignment. The contact name and address help identify the correct operating counterpart.
- Reservation detail. Each booking resource line identifies its parent booking, line number and resource. Capacity and reserved units describe the intended use. Retain the line revision so a reviewer can distinguish an updated arrangement from the plan discussed earlier.
- Preparation allowances. Setup and cleanup minutes help the team discuss the time needed around the booking. Check these allowances with the planned start and end rather than assuming the customer-facing service window describes every operating commitment.
What to agree during setup
Agree naming conventions for resources and explain how the team distinguishes a coach, driver or partner operator. Decide what a reserved unit means for each kind of resource. Capacity values need a consistent interpretation before a reviewer can compare them with the intended booking or departure.
Name the person responsible for keeping contact and eligibility information current. Establish how dispatch confirms availability with the resource owner and records that confirmation. Agree how changes are communicated when a reserved resource is replaced, and who revisits the departure’s crew and seat capacity before review.
Check the handoff on an actual case
A charter booking requires a coach and a driver for a morning departure. The Dispatcher selects the intended resource records and adds reservation lines to the booking. Review the capacity and reserved units in the context of that service, then include the preparation allowances agreed with operations.
Check the resource contacts and confirm the arrangement with the responsible person. Record the confirmation and compare the resulting reservation with the booking window. The Departure Reviewer should be able to follow the resource lines from the same booking used for the departure decision.
Now replace the intended coach with a partner-operated resource. Keep the revised resource reference and confirmation clear. Check the partner’s contact, eligibility note and the capacity relevant to the departure. Update the departure plan where necessary before another person approves it. A reader returning to the booking should understand which arrangement is current and which supporting file explains the change.
