What you can do
Keep counter activity attached to the meal booking
A diner group may make a restaurant counter booking alongside its main meal service. The Front Desk Agent records the counter name, start date and diner count against the selected meal booking. The parent booking gives the team the context needed to inspect that activity later and keep it with the right diner account.
Counter charges follow their own financial lifecycle. A Draft charge carries the counter name, charge date and amount before it can be posted. The Finance Officer prepares authorized financial work, and the Operations Reviewer examines the evidence needed for an eligible outcome. Capturing a counter booking does not itself establish that a charge is posted or a payment is confirmed.
How the work is organized
- Choose the parent booking. The Front Desk Agent or Property Manager selects the meal booking before capturing the counter request. Confirm the diner context so the activity is attributed to the intended service.
- Capture source evidence. The counter booking action validates the permitted staff member and linked source identity. It retains attributed evidence for the responsible reviewer and refreshes the linked booking detail.
- Follow the charge decision. The Finance Officer prepares the linked counter charge in Draft. The guarded charge process follows the permitted Posted or Voided outcome with the evidence needed to explain the change.
What to agree during setup
Agree the counter naming convention so staff can distinguish the service points used by your cafeteria. Decide who captures restaurant counter bookings and how the responsible reviewer receives their evidence. Use a diner count that reflects the counter request rather than assuming every person on the parent booking takes part.
Set the handoff between the Front Desk Agent and Finance Officer. The agent’s authority to capture a counter booking does not grant general financial editing access. Confirm which guarded actions are available to each role and who can request a correction after a charge is posted. Keep the original source context available when an authorized void is needed.
Check the handoff on an actual case
Use a department lunch whose organizer adds a restaurant counter request for a smaller group. The Front Desk Agent selects the parent meal booking and records the counter details. Inspect the linked booking detail and confirm that the activity appears under the intended diner, with its own start date and diner count.
Have the Finance Officer prepare a Draft counter charge for that activity. The Operations Reviewer checks the source evidence before the eligible charge is posted. Repeat the original submission after an uncertain response and inspect the retained result before accepting another charge. Finally, rehearse a wrong amount discovered after posting and follow the authorized void path while keeping the earlier evidence available.
