What you can do

Set the next maintenance expectation

A preventive maintenance plan belongs to an asset and records day and hour intervals, the last completion date and the next due date. The capture action validates the asset, numeric intervals and dates before it creates the plan. That gives the facility manager a defined maintenance expectation tied to a physical unit.

The plan is useful when it leads to a real work order. Scheduled Preventive Maintenance brings due plans into the operating review; the work order then carries the assignment, permit decision, actual work and inspection. The service history retains the result after completion. Staff can compare the planned date with the performed work without confusing the plan with proof of service.

How the work is organized

  • Define the interval. Enter the day and hour values that apply to the asset.
  • Review due work. Use the next due date to identify which assets need planning.
  • Record completion. Run the work order through its permit, technician and inspection decisions.

For a campus pump, the facility manager records its maintenance interval and next due date. When it appears in the due list, the manager opens a preventive work order for that pump. A permit issuer authorizes the work within a valid interval, and a technician logs the task performed. After inspection, service history records the outcome and next due date.

What to agree during setup

Choose which assets should receive preventive plans in the first operating cycle. Agree whether the day interval, hour interval or both are meaningful for each class of equipment. Use a consistent convention for last completion and next due dates; staff need to know whether a due date means the start of a planning window or the last acceptable service day.

Review asset identity before importing plans. Duplicate plans on lookalike equipment can send the wrong technician to the wrong location. Decide who reviews due plans and who creates the corresponding work order. Put that decision in the team’s operating routine, since a plan does not itself assign someone or authorize work.

Check the handoff on an actual case

Select a known asset with a recent service date and create a plan using valid numeric intervals and dates. Confirm it appears in the plan register and, when due, in Scheduled Preventive Maintenance. Create a preventive work order for the same asset and verify that its scope is clear to the permit issuer and technician.

Complete the order through the normal inspection step. Check that the service entry identifies the same asset and work order and that its outcome and next due date make sense to the facility manager. Repeat with an invalid interval to confirm the capture action rejects it before creating a plan.

What your team sees

  • Scheduled Preventive Maintenance — Due asset plans with their intervals and next due dates.
  • Preventive Plan Register — The full plan list for comparing last completion and next due dates.
  • Open Work Orders — Preventive jobs once they have entered the actual work queue.
