What you can do
Put the permit before the schedule
A safety permit identifies its type, issuing person, linked work order, validity interval and status. The permit issuer can issue an approved permit for a defined interval or close a permit by its record identifier. The scheduling action checks for an approved permit on the same work order that covers today. That check makes permit review part of the actual planning handoff.
A scheduled order should therefore have a permit decision the team can inspect. The active permit list supports a daily review, while the permit register preserves requested, approved, expired and closed records. A status label alone is not enough: the dates and work order link matter to the scheduling decision.
How the work is organized
- Identify the work. Link the permit to the specific work order and asset context.
- Set the interval. Record a start and end date that describes when the authorization applies.
- Issue or close. Have the named issuer approve the permit, then close it when the authorized work is done.
Consider a repair planned for a campus plant room. The facility manager creates the work order against the affected equipment. The permit issuer checks the scope and records the valid interval. Scheduling can proceed during that interval. If the date moves outside it, the manager needs a current approved authorization before scheduling again.
What to agree during setup
List the permit types the team uses and agree who has authority to issue each one. The permit type is open text, so consistent naming matters for later review. Decide how the issuing person’s record will be kept current and who will close permits after work ends.
Set a local rule for validity intervals and for work that spans more than one day. The permit issuer and facility manager should agree what happens when the job date changes. Rehearse the exact order and permit linkage before adding real jobs; a permit on the wrong order should never be treated as approval for a similar asset nearby.
Check the handoff on an actual case
Choose a work order and prepare a permit with a known start and end date. Ask the permit issuer to issue it, then have the facility manager schedule the linked job. Confirm the permit is approved, linked to that job and valid on the scheduling date. Try a second job with the same permit and confirm it cannot be authorized on that basis.
After the technician finishes and the inspector accepts the work, close the permit by its identifier. Check the register to make sure its closed state is visible and that the work order still retains its own completed history. The permit records authorization; the service entry records what was done.
What your team sees
- Active Safety Permits — Approved permits and their validity intervals for current planning.
- Safety Permit Register — Permit status, linked order and issuing person across the full register.
Follow the work through
Follow permit and schedule for the authorization steps, then maintenance work order for execution and close.
