How a Clinical Trial Management rollout works
Start with a real patient visit and expand after the team rehearses each handoff.
Set up staff and patients
Confirm user accounts, clinician records, patient numbers and the assigned clinician for the pilot group.
Establish governance
Enter privilege evidence and effective dates, then record care-team assignments with their access purposes.
Run a visit
Schedule an encounter, record arrival and start, add a note and observation, and check the relevant consent.
Review specialty work
Add a specimen or dispensation where the clinic performs it, then inspect the full encounter record before completion.
Close and follow through
Record the end time, assign care tasks and check service charges and payment references through the agreed financial process.
What the customer provides
Bring a small set of real patient and staff records, a clinician’s privilege evidence, a purpose-specific consent, a representative visit and the people who own each handoff. Agree the meaning of visit types, note types, specimen states and charge descriptions with the people who use them. If another system handles laboratory, pharmacy or payment outcomes, bring its owner into the rehearsal.
Changing it afterwards
Review the first completed visits with the coordinator, clinician, reviewer and governance administrator. Correct unclear ownership or record entry at the source. Preserve the patient and encounter references when changing schedules or staff assignments, and repeat the access rehearsal when permissions or clinical responsibilities change. The data model and roles pages provide the operating map for later changes.
