What you can do

Make ownership explicit

A cloud account needs a named owner before its charges can be reviewed reliably. Cloud accounts holds the account name, provider console, contract expiry, renewal choice and owner. Account cost centers records the cost center code, allocation rule and review cycle for that account. This pair lets a Finance Manager explain which account a charge belongs to and how its cost center is chosen.

An onboarding request gives the team a place to review a new account name, requester and cost model template. Its status follows the request from Draft through Review and Approved to Provisioning and Completed, with Failed available when setup does not complete. The requester and account owner may be different people; keep both visible.

How the work is organized

  • Account inventory. Name the provider account and its owner, then record contract and renewal dates.
  • Allocation rules. Use a cost center code and an explicit rule for fixed, variable, shared or committed spend.
  • Resource assignment. Track when an asset begins and ends its cost center allocation.

What to agree during setup

Define the exact cost center codes and the person who can approve a rule. Agree when a shared account charge is split and which source supplies the basis. The review cycle belongs on the rule so it is clear when a published allocation needs another check. The account owner should confirm the provider console reference and renewal choice, while Finance Manager checks that the same account name appears on incoming cost lines.

Keep the first setup small. Register one account, one allocation rule and a few charges. Review the resulting cost center report with the owner. Add further accounts only after the naming and review procedure is understood.

Check the handoff on an actual case

A team requests a new cloud account for a service. The requester supplies the account name and selects a cost model template. Finance Manager reviews the request, records approval, and the account owner checks the provider console and contract expiry. Cost Center Owner then publishes the allocation rule and checks the first charges against it. If the account is shared, the rule explains the allocation basis rather than relying on an informal spreadsheet. A later asset allocation keeps its start and release dates so old charges can be interpreted against the right ownership period.
