What you can do

Keep outlet plans on the reservation

A restaurant or spa booking connects to a selected stay. The outlet reservation records its type, name, start time and guest count. Front desk staff can use the booking number and linked stay to answer which reservation a guest means, particularly when the same party has more than one stay on record. The property manager can see the specialty reservation beside the main booking.

An outlet reservation is distinct from an outlet charge. Planning a spa time does not establish an amount owed, and a recorded charge does not by itself create a slot. Keep these records linked to the same stay when the service takes place so finance can review the charge later without guessing which guest or booking it belongs to.

How the work is organized

  • Stay connection. Each specialty reservation identifies the booking whose guest requested it.
  • Outlet details. Restaurant or spa type, outlet name, start and party size tell staff what was arranged.
  • Separate finance trail. Outlet charges have their own amount and status once service is billed.

What to agree during setup

Decide how the concierge team confirms a requested time with each outlet and how a changed time is communicated. Use consistent outlet names, especially when a property has more than one restaurant or treatment area. Agree when a guest count differs from the stay’s party size and who checks that detail. If the outlet has its own scheduling system, establish how staff verify a slot there; the reservation record remains the link back to the guest stay.

Check the handoff on an actual case

A guest with a confirmed weekend booking asks for a dinner reservation and a spa appointment. The front desk agent opens the stay, records the restaurant booking with its start and party size, then adds the spa booking as a separate record. The next shift can find both through the reservation. If the restaurant posts a charge to the room, finance records an outlet charge against that same booking and checks its amount and status independently. The property manager can review the guest’s service plans without treating either reservation as a payment.

When a guest changes the restaurant time, Front Desk Agent should check the appointment with the outlet, then review the start and guest count attached to the stay. Property Manager can inspect the updated plan from the booking. Finance Officer should still use the separate outlet charge when reviewing the amount owed.

What your team sees

  • Outlet Reservations — Review restaurant and spa starts with the linked stay and party size.
  • Arrival Schedule — Find the guest’s main stay dates before arranging a service.
  • Draft Outlet Charges — Review any later charges linked to those stays.
