What you can do
Run this work from a source record
Admin maintains the operating organization, its currency and time zone, and the people linked to platform users. Business partners carry a name, code, contact, address, active value and eligibility note. Those details let Document Owner choose the intended counterparty for a supplier cost or owner invoice. Accounts and periods also belong to an organization, so Controller can check the financial scope of each source.
Use a subcontractor cost case where the same partner name may appear under more than one organization. Admin checks the partner code and active value in the intended organization. Document Owner then selects that partner and an owner from the same organization on the document. Controller checks the ledger account and period for that entity before journal work. If a partner is inactive, Admin resolves eligibility before the document advances.
How the work is organized
- Prepare the source. Enter the partner code, contact, eligibility note and organization and keep the related record available to the next owner.
- Make the decision. Check the active party and correct organization. Record the named decision on the revision under review.
- Follow the result. Keep the next accounting action tied to its source rather than treating a status label as the whole history.
The first pass should use an actual billing or cost case that the team recognizes. Choose one organization and one counterparty, then follow the record to the point where a reviewer or controller must act. Read the linked lines and evidence before changing status. If a figure differs from its support, send the record back with a reason and let the owner correct that same business case.
What to agree during setup
Agree who maintains organization codes, currencies, time zones and membership. Admin should keep each partner’s active value and eligibility note current. Document Owner chooses a counterparty from the intended organization; Controller uses that organization’s accounts and periods. Rehearse the same partner name under different organizations so a familiar name does not hide a wrong record.
Check the handoff on an actual case
Create a supplier cost document for one organization and select its active subcontractor partner. Ask Admin to show the partner code and eligibility note, then ask Document Owner to confirm the counterparty before review. Try an inactive partner and a team member linked to another organization. Stop those cases for correction before journal work begins.
