What you can do

Run this work from a source record

Document Owner links a progress billing to its parent accounting document and names the project in the billing record. The certificate reference, certification time and certified amount identify the supported claim. Billing Reviewer sees Submitted claims and checks the referenced certificate against the parent document’s attachment. A project label helps find the claim; it does not replace the parent accounting document.

For monthly concrete work, Document Owner records the claim amount and uploads the certificate to the parent document. Billing Reviewer checks the amount, certificate reference and certification date. If the evidence supports the submitted revision, the reviewer records the decision time and marks the billing Approved. If the certificate is incomplete, the claim stays for follow-up or is marked Rejected with the reason communicated to the owner. Completed follows only approved certified scope.

How the work is organized

  • Prepare the source. Enter the project label, certified amount, certification time and certificate reference and keep the related record available to the next owner.
  • Make the decision. Check whether the certificate covers the amount being claimed. Record the named decision on the revision under review.
  • Follow the result. Keep the next accounting action tied to its source rather than treating a status label as the whole history.

The first pass should use an actual billing or cost case that the team recognizes. Choose one organization and one counterparty, then follow the record to the point where a reviewer or controller must act. Read the linked lines and evidence before changing status. If a figure differs from its support, send the record back with a reason and let the owner correct that same business case.

What to agree during setup

Agree what qualifies as a certified amount, who uploads the certificate, and who records the billing decision. The billing’s project label, amount, certification time and certificate reference should identify the supported scope. The attachment belongs to the parent accounting document. Billing Reviewer should see that parent and the current claim before changing a submitted status.

Check the handoff on an actual case

Enter a monthly concrete claim with a parent document and certificate. Billing Reviewer compares the certified amount and date with the uploaded file before marking the billing Approved. Repeat with a missing certificate reference and with an amount that differs from the file. Leave those cases for correction or reject them; do not mark the claim Completed from a receipt result alone.

What your team sees

  • Submitted billings — Billing Reviewer checks the amount, date, certificate reference and parent.
  • Progress billing board — Document Owner and Controller follow each claim through its recorded status.

Follow the work through

Start with document review, follow certified billing, and use journal posting or cash settlement for the resulting accounting work.
