Commercial fit-outs

Fit-out closeout often brings many small findings into a short period. The project and work package structure gives the site team a way to assign each issue to a trade scope while keeping the overall site visible to the project manager. A site photo, named crew member and reported date help the inspector understand what was found and what was corrected.

How Construction Punch List is set up for you

Trade scope

Create a work package for a bounded finish or installation scope with its own manager, dates and contract value.

Site findings

Record punch items against the package and keep the defect description specific enough for the crew to act.

Evidence

Attach site photos to the related item so a reviewer can inspect the correction history.

Closeout

Follow approved items and tasks into the billing and payment lists.

Fit-out closeout often brings many small findings into a short period. The project and work package structure gives the site team a way to assign each issue to a trade scope while keeping the overall site visible to the project manager. A site photo, named crew member and reported date help the inspector understand what was found and what was corrected.

Start with one active fit-out project and one package, such as lobby finishes. Have the superintendent record a damaged trim item, assign it to a foreman and attach a site photo. The foreman records positive hours and billable intent after correction. The inspector checks the correction before the superintendent submits the item. If the sign-off check passes, it moves to Approved and produces a decision and operation receipt. The project manager then checks the approved, not invoiced list while the closeout task is prepared.

Rehearse a second finding with no hours. The attempted review should leave it Submitted and record a Failed receipt. This teaches the team where a blocked item appears and who fixes it. For the first billing cycle, use a task with an amount and package and follow its payment record through the due date. The Owner can see an overdue or disputed payment without changing the underlying site record.

Agree what a package means in the fit-out contract before importing existing findings. If one package covers several floors, put a clear location in each item description. If each floor has its own scope, keep the packages separate so delivery totals stay useful. Review crew rates and budget hours with the project manager before using package margin as an operating signal.
