What you can do
Check the signature result before activation
After approval, the Contract Manager can track an e-sign envelope against the contract. The envelope records its provider, provider envelope ID, status, sent date, completion date, expiry date and executed document link. A sent envelope is still in progress; completed, declined, voided and expired outcomes need different follow-up. Keeping the external identifier on the record helps the team match a provider result to the intended agreement.
An approved contract can wait for its signature result in the envelope record. The executed date and execution note belong on the contract once the team has checked that result. An operation receipt can record a contract operation, when it was performed, the outcome and an evidence URL. Together, these records make the handoff from approval to an active agreement understandable for the people who must manage the term.
How the work is organized
- Envelope tracking. Provider and provider envelope ID identify the signing transaction associated with a contract.
- Contract transition. Approved and active contract states, together with envelope status, distinguish the signing period from the executed term.
- Evidence receipt. An operation record can preserve the result and supporting link for a contract action.
The provider remains the source for its envelope events and executed file. The Contract Manager checks those results and keeps the corresponding record current. A receipt with a failed or pending outcome should be read as such; its presence alone does not establish a completed signature.
What to agree during setup
Choose the signing provider and agree how envelope identifiers and document links will reach the app. Decide who checks a completed envelope before entering an executed date, and what should happen when a signer declines or the envelope expires. Establish a naming practice for execution notes and evidence links so a later reviewer can find the supporting result. Decide which team member owns reconciliation when the provider and contract status differ.
Check the handoff on an actual case
An approved NDA is sent through the selected provider. The Contract Manager records the envelope ID and sent date while the agreement waits for signature. The envelope later shows completion and provides an executed document link. The manager checks that the provider result belongs to the NDA, records the executed date and note, and moves the contract to active. An operation receipt captures the contract executed outcome and the evidence link. The obligation and renewal owners can now work from a known execution point.
What your team sees
- Signature queue — Follow envelopes that are created, sent, delivered or partly signed.
- Operation evidence — Inspect recorded contract operations and outcomes.
- Active agreements — Check which contracts have entered their operating term.
Follow the work through
Start at approval and execution, then move to obligations and renewals once the agreement is active.
What it keeps track of
Data model- E sign envelopes
- Signature envelopes sent for execution and their completion status.
- Contracts
- The contract record itself: terms, value, dates and lifecycle status.
- Operation receipts
- Evidence ledger of operations performed against contracts, with outcome and evidence link.
Who uses it
Permissions- Contract Manager
- , Legal Counsel, Sales Manager and Admin.
- Contract Manager
- Reconciles the signature result; Legal Counsel checks legal context; Admin maintains access to operation evidence.
