What you can do

Variance review in daily work

Cost variances connects a standard estimate, an actual cost posting, a cost pool and a business partner cost object. The record carries a direction, date, amount, ledger reference and status. Variance Analyst checks the linked records before using Variance Release Action on a Scheduled variance. The action records an operation receipt and changes the status to Released. Finance Reviewer separately checks the ledger reference against journal evidence before recording a reconciliation status.

How the work is organized

  • Link both sides. Select the estimate and actual posting that describe the same cost case.
  • Explain the amount. Review direction, date, amount and memo against the source records.
  • Follow the result. Inspect the release receipt and later reconciliation status.

What to agree during setup

Agree whether the difference is recorded as inbound or outbound and who owns that classification. Set a rule for the effective estimate when several versions exist. Decide which source provides the ledger reference and who checks it before a variance is marked Reconciled. Keep the review decision separate from an arithmetic comparison: a difference can be correctly calculated while attached to the wrong job or pool.

Check the handoff on an actual case

For a facilities charge above its standard estimate, Variance Analyst opens the scheduled variance and checks its linked estimate and actual posting. The analyst checks that both refer to the intended organization and cost case, then reviews the amount and direction. If the estimate points to a different contract, repair the link before release. Once released, operation receipts records the attempted action and result. Finance Reviewer checks the ledger reference against journal evidence before recording Reconciled status.

A released variance still needs a clear ledger outcome. Use the record number and ledger reference to look up the journal during review. When a source posting is corrected, revisit the variance rather than leaving the earlier comparison as the current answer. Finance Reviewer should be able to explain which estimate date, actual charge and pool supported the difference. That explanation matters more than a bare variance total. Keep the linked source record numbers visible during every review and correction. When the ledger reference points to a different period, Finance Reviewer should investigate that mismatch before recording Reconciled status. The release receipt proves the action result; it does not prove that the journal contains the expected amount.

What it keeps track of

Data model
Cost variances
Variance between standard and actual cost, posted through to the cost ledger.
Standard cost estimates
Standard cost built up per cost object, used as the baseline for variance analysis.
Accounting documents
Actual cost incurred against a cost pool, reviewed, approved and posted to the cost ledger.
Cost pools
Cost pools that collect overhead and indirect cost before it is allocated and absorbed.
Business partners
Cost objects - jobs, products and contracts - that accumulate standard and actual cost.
Operation receipts
Evidence that an operation actually ran: who triggered it, when, with what result and where the output lives.

Who uses it
