What you can do
Establish who the quote belongs to
A commercial kitchen quote needs a clear buying account before the equipment list grows. The App Administrator records the customer name, account code, contact and address under the dealer organization. The Quote Specialist then selects that customer when preparing the quote. This gives the reviewer a consistent account to inspect when checking the commercial offer.
A dealer may quote a restaurant operator from several branches. The organization attached to the customer determines where that account belongs. The quote owner also belongs to an organization through team membership. Agree which dealer entity will make the offer before anyone copies quantities or attaches a site document. Similar customer names are a reason to check the account code and address carefully.
How the work is organized
- Dealer context. The organization holds its name, code, active setting, time zone and currency. These establish the account context used by the quoting team. Equipment pricing remains expressed in USD on the quote lines.
- Customer readiness. The customer holds a contact name, address and eligibility note. The App Administrator keeps this information useful for a Quote Specialist choosing the buyer and for a Pricing Reviewer checking the request.
- Named ownership. A team member connects the organization to a platform user. The active setting and role name support access setup, while the quote owner identifies the person responsible for moving the offer forward.
What to agree during setup
Decide how customer codes distinguish the legal buyer from a kitchen location. Use the address and eligibility note consistently so a reviewer can understand which site the offer concerns without guessing from the customer’s name. Set a clear owner for correcting a duplicate or an outdated contact.
Review membership before importing live quotes. A person’s display name does not replace their platform identity. The App Administrator should confirm the account used by each Quote Specialist and Pricing Reviewer, then rehearse access from those accounts. Set organization time zones deliberately so quote validity and recorded decisions can be discussed against the same business day.
Check the handoff on an actual case
For a rehearsal, use a restaurant group requesting equipment for a replacement kitchen. Create its customer account under the dealer entity making the offer. Check the contact and site address, then have the assigned Quote Specialist select it on a draft quote. Ask a Pricing Reviewer to trace the same customer from the review queue.
Next, try the same preparation from a team member belonging to another dealer organization. The team should establish that the account and quote are available only within the intended scope. Resolve any mistaken membership before transferring the pilot into ordinary work. Keep the original account code when correcting a contact so existing quote references remain understandable.
