What you can do

Put a named decision behind the offer

The Pricing Reviewer opens the current quote revision with its equipment values and supporting evidence. A decision records the reviewer, source revision, time and reason. Approve, Reject and Return express different outcomes. A returned quote goes back to Draft for correction; an approved quote is ready for the customer acceptance step while it remains valid.

A quote for a restaurant refit may be commercially acceptable while its package still needs a utility clarification. Review the package alongside the commercial evidence and agree the order of decisions during setup. Keep each outcome attached to its own record so a package approval cannot be mistaken for acceptance of the equipment price.

How the work is organized

  • Review queue. Quotes in Review are available for the Pricing Reviewer to examine. Equipment lines show the offered scope and amounts, while attachments explain the customer request and relevant site evidence.
  • Decision history. A review decision identifies the source revision and operation key. The reason should explain what the reviewer accepted or what the Quote Specialist must correct before another submission.
  • Customer acceptance. The guarded acceptance action uses the approved, unexpired revision and retains the acceptance time. The accepted equipment lines become the basis for the downstream handoff.

What to agree during setup

Name who acts as the independent Pricing Reviewer for the pilot. The person who prepares the quote must not approve their own work. Agree the evidence needed for a commercial decision and the meaning of Return compared with Reject, so a Quote Specialist knows whether to correct the draft or reconsider the offer.

Define how customer acceptance reaches the team and which evidence should be attached. Staff should check the validity date and approved revision before recording the customer’s response. Decide who handles a response received after expiry. Keep administrative access separate from commercial authority: maintaining accounts and membership does not give the App Administrator a business approval role.

Check the handoff on an actual case

Take a priced kitchen quote into Review. Have a separate Pricing Reviewer inspect the equipment list and record Return because the customer’s requested appliance quantity needs clarification. The Quote Specialist corrects the draft and requests pricing for the current revision. A fresh review should refer to that revision and preserve the earlier decision history.

Approve the corrected quote and record the customer’s acceptance within its validity period. Inspect the acceptance time and decision evidence before handing off. Then rehearse a self-approval attempt and acceptance against an old revision. Both must be refused. Repeating the same successful request should preserve a single coherent outcome, with operation evidence that lets the Auditor see what happened.
