What you can do

Keep acceptance tied to the approved offer

An approved quote can still need a customer decision. The Quote Specialist records acceptance for the approved revision while the offer remains valid, retaining the acceptance date. Check the customer and revision before taking that step. A customer’s reply concerning an earlier offer needs a clear resolution before the team records acceptance of the current one.

The accepted quote provides the basis for a downstream handoff. Configure the order connection and use the accepted revision when preparing the request. The operation receipt records the result and any real external reference returned by that connection. The quote remains available with its commercial decision while the team follows the downstream outcome.

How the work is organized

  • Acceptance check. The specialist confirms the approved revision and validity date, then records the customer’s acceptance through the agreed procedure. Supporting evidence belongs with the quote.
  • Order connection. The handoff uses the accepted quote and its line detail. Agree the target system and field mapping before sending the first request.
  • Outcome follow-up. Inspect the receipt’s result and external reference. A Pending result needs follow-up before the team tells the customer that the downstream order has been created.

What to agree during setup

Agree what evidence is sufficient to record customer acceptance and who may perform that action. Define the time zone used for the validity boundary and rehearse an offer at that boundary. Decide how an expired offer is returned to the team for a new commercial decision rather than carrying its earlier approval into a changed request.

Set up the downstream order connection with the accepted quote revision and line mapping. Agree how the stable operation key is reused when an uncertain request needs investigation. Define who checks the target system and what response establishes completion. If an accepted offer later needs correction, use the agreed review and compensation procedure while preserving the original evidence.

Check the handoff on an actual case

Take the reviewed rack expansion offer and record the customer’s acceptance of its approved revision. Confirm the acceptance date and the supporting customer response. The Quote Specialist then requests handoff through the configured order connection and opens the operation receipt.

Rehearse the same step with the connection unavailable. The receipt should remain Pending without a fabricated order reference. Restore the connection under the agreed procedure and inspect its real result before communicating completion. Include a repeated request in the rehearsal and compare its stable operation key with the original attempt. Finally, ask the Pricing Reviewer to explain how the team would handle a customer change after acceptance without removing the earlier decision.

What your team sees

  • Accepted Quotes — Find the accepted revision and recorded acceptance date before handoff.
  • Quotes Due for Validity Review — Inspect unaccepted offers whose validity date has reached today or passed it.
  • Completed Operations — Read completed action results with their external and effect references.

Follow the work through

Use acceptance and order handoff and operation reconciliation when a result needs investigation.
